Our next big thing: someone to manage all of the important things. As our all new head of office-and-pretty-much-everything-else you'll head up in managing our office, accounting, payroll and operational efficiency.

You can work with minimal, potentially implied input, and turn it into results. If you don’t have all the context, you’ll figure it out along the road and ask precise questions when you’re completely blocked.

Your future job looks like this.

You join a young team of hard-working marketing and tech people impacting the broader healthcare industry. You understand modern office management is the oil that makes any organization run like clockwork. You’re both practically strong, as well as knowing your way around automating the modern office space using tools such as CRMs, Microsoft 365 and others.

You have experience in the Belgian Wage system and can see yourself setting up and maintaining payroll in European countries such as France, Germany and Spain.

You have a sense of style and finesse that fits the Ooho brand.

You will be responsible for the following duties:

  • Performs under minimal supervision, full range of office management and administrative support functions. Assists in the development of office administrative systems and procedures.
  • Provides assistance in the coordination of Office-wide activities (meetings, training, etc.), special projects and events.
  • Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate team members
  • Ensures smooth and efficient information flow within the organisation; prepares and processes confidential information.
  • Orienting new team members to relevant administrative procedures and practices Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.).
